Music school system design and automation: I built the system that runs my guitar studio. Try it.

Be one of my students for a minute. The phone is what a new student sees, and the dashboard is what I see. It’s a demo, so nothing is sent or charged.

Your school runs differently than my studio, so yours wouldn’t be a copy of this. It would follow your own steps, programs and policies.

Something I’ve been building

That demo is the real thing

Over the last couple of years I’ve built my own website, student inquiry flow, booking and payments, teaching agreements, and lesson recaps with recordings for my private lessons. A lot of my friends run or teach at music schools, so I wanted to show you how it all works.

If any of it would make life easier at your school, I’d love to build something like it with you, wherever your school is.

Why I built it

Less admin work and a better first impression for families

Teaching comes with a lot of small admin. I wanted less of it for me, and a smoother start for every new family. Here’s what the system does for my studio.

Better first calls

Families answer the questions I’d normally ask before we ever talk, so the first call is about music instead of logistics.

Every lead in one place

Inquiries land in one inbox with a notification on my phone, and the family gets a reply right away. Nothing sits in voicemail.

Booked and paid on the first call

While we’re still on the phone, I text one link. They pay on a page that looks like my studio, and that’s what books the lesson. No invoices, nothing to chase.

Policies signed, not explained

Tuition, makeups and cancellations are in one agreement they sign on their phone, and we both get a copy.

Every lesson recapped

After each lesson, students get a Lesson Card with the practice plan, plus the recording, transcript and charts in their own Lesson Library.

A website I can actually update

Fast pages I control, without fighting a page builder or paying for plugins I don’t use.

Friends at bigger schools tell me about other kinds of admin too: teachers getting texted to confirm every lesson for payroll, makeup credits tracked in a spreadsheet, families juggling three logins. A lot of that can be automated as well.

Services

Music school systems I can build or improve

You wouldn’t need all of this. Most projects would start with one or two pieces, wherever the most time or money is going, and leave alone what already works. Projects are done remotely, so your school can be anywhere in the US.

Website design and redesign

A fast, clear website that explains your programs, shows your teachers and makes the next step obvious, with pages you can keep current yourself.

Student inquiry and enrollment systems

Guided inquiry flows like the one in the demo: a few questions about the student, a reply that fits them, and everything your team needs before the first call.

Scheduling, attendance and makeup lessons

Teachers confirm a lesson with one tap, makeups follow your rules, and nobody has to chase anyone about whether a lesson took place.

Payments and administrative automation

Branded booking and payment pages, online agreements, confirmation emails and reminders that go out on their own.

Connecting your studio software

Linking your website and forms to the platform you already use, where that platform actually supports it. More on that below.

Lesson recaps, recordings and libraries

After each lesson, families get a recap with the practice plan and materials, and recordings and transcripts can live in each student’s own library.

Hosting and performance

A look at what you pay for hosting, plugins and subscriptions, and whether a simpler setup would load faster and cost less.

Your current software

Keep the studio software you already use

You don’t have to give up My Music Staff, Opus1 or whatever your school runs on today. Often the best result comes from keeping the system your team knows and improving everything around it: the website, the inquiry process, the emails families receive, and how information moves between them.

If replacing something really would save you money or time, I’ll tell you why. If it wouldn’t, I won’t push it.

When the platform offers an API

Some platforms let approved software read or write data such as students, lessons or invoices. Where that access exists on your plan, your website and forms can talk to your system directly.

Embeds and hosted portals

Many platforms provide sign-up forms, calendars or a family portal that they host. These can be placed inside a site that looks like yours, though their look and behavior are set by the vendor.

Working around the edges

When there’s no connection available, there are still options: better inquiry flows that hand off cleanly, exports, email notifications and clear instructions for families.

Before we agree on anything, I check what your exact platform and subscription actually support and put it in writing. What’s possible varies from platform to platform, and vendors change their features over time.

About me

A teacher who also designs the systems

If we haven’t met: I’m Adam Hernandez, a professional guitarist with a B.M. in Studio Music and Jazz from the University of Miami Frost School of Music and an M.M. in Jazz Performance and Pedagogy from the University of Colorado Boulder. I teach private students every week in Nashville, and I’ve run Jamsville, a guitar education channel and set of fretboard tools, since 2017.

I designed everything in the demo for my own studio because I needed it. Teaching tells me what a parent wants to hear before a first lesson and why a teacher shouldn’t have to answer the same scheduling question five times. Designing the systems is how I turn that into something that works.

  • Guided lesson inquiry flow
  • Automatic confirmation emails
  • Inquiry inbox with phone notifications
  • Branded first-lesson booking and payment
  • Online teaching agreement with signed PDF
  • Lesson Cards, recordings and transcripts

I haven’t built this for another school yet. That’s why I’m starting with people I know.

How it would work

Simple, and you’d be talking to me the whole time

  1. 1

    We talk about your school

How students find you, how they sign up, how lessons get scheduled, confirmed and paid for, and where the time goes.

  2. 2

I write up a clear plan

What I’d build or change, what it connects to, what it won’t do, and the price. Nothing starts until you’re happy with it.

  3. 3

I build it and stick around

You see it as it comes together and approve it before it goes live. After launch I’m still there to help.

Starting with friends

The first few schools get a better deal

I’m starting with a few schools run by people I know. The first schools get founding pricing and a stretch of included support after launch, and I get honest feedback while I figure out the best way to do this.

Pricing depends on what your school needs, so we’d work that out together once I understand the project. Asking about it doesn’t commit you to anything.

Questions

Common questions from music school owners

Do we have to stop using My Music Staff or Opus1?

No. Often the best result is keeping the system your team already knows and improving the website, enrollment and communication around it. What can connect directly depends on your platform and plan, and I check that before we agree on anything.

Do you only work with schools in Nashville?

No. I teach in Nashville, but projects are done remotely, so your school can be anywhere in the US.

How much does a music school system project cost?

It depends on what your school needs. After we talk and I look at your current setup, I write up a clear plan with a price. The first few schools get founding pricing.

How long does a project take?

That depends on the scope too. The written plan includes a timeline before any work starts.

Have you built this for other music schools?

Not yet. Everything in the demo runs my own studio. That’s why the first few schools get founding pricing in exchange for honest feedback.

Is this software we have to subscribe to?

No. It’s a custom project built for your school, not a software subscription. Support is included for a while after launch, and ongoing care after that is optional.

Get in touch

Let’s make running your music school easier.

Tell me a little about your school: your website, how students sign up, and what takes more of your week than it should. It comes straight to me, and I’ll reply personally.

If you already have my number, a text works too.

What would you most like to improve? (optional)
